#2 Maintaining a current list of swag vendors

Summary

All regions have preferred swag vendors or recommended advice for ordering new swag. The lists are not always maintained. The lists should be maintained and have input especially from both Design and Ambassadors.

Background

Every region does things a little differently. Some regions maintain this information, others don't have anything. Some have outdated information. The stored information is also different and inconsistent across regions.

This creates three problems:

  • Ambassadors look to order swag but don't know the best way to do it / who to contact
  • Some regions have one or two Ambassadors who handle this, but the process is undocumented (creating possible risk if they ever left the community)
  • Design Team frequently gives the same print feedback and advice over and over to Ambassadors requesting design work (when most of the time, a clearly noted FAQ could help address this)

Details

There are two pages where vendors are maintained for the entire project. One page is for online vendors and the other for local vendors.

Additionally, there seems to have once been a Distribution SIG to help manage this, but the group is defunct. This group's roles should be adopted by Mindshare or simply retired / marked as old.

Action

I'm taking a guess for how this ticket could be closed as complete. Obviously, the incoming Mindshare committee will decide how to handle this ticket.

The new Mindshare committee should…

  1. Identify how regions handle swag orders / distribution as of now
  2. Find similarities that can be used for a common procedure by all Ambassadors
  3. Identify region-specific things that cannot be unified into a common set of guidelines
  4. Gather feedback from Ambassadors and Design Team
  5. Update all distribution documentation, create any new guidelines (if needed)

Would Mindshare be open to trying to get individual ambassadors out of the swag ordering business? I believe very strongly that we should follow the EMEA model worldwide and print swag centrally and ship it. Our constrained resource is people power, not money. This is not to say we have an infinite pool of money, but we have enough.

I would like to see the ambassadors able to just request the swag they need so they can focus on the quality of their event and the impact. Everytime someone gets distracted tracking down swag, it becomes a drain on what they can do to prepare for their event (or maybe they can do two now that it is easier :D).

It looks like we have separate discussions going on in LATAM and APAC around this very topic. NA is looking at doing a year-end swag order, and at some point EMEA will too. We can currently warehouse swag for shipping in NA and EMEA and may soon have an APAC location. If not we can ship from NA or EMEA.

There are very few countries in the world that we can't just ship too. Let's work this way please.

given the current thinking about doing more central swag production and less per event production this list is not currently believed to be needed.
