#11 Events planning through out the year like FWD

We did great job in order to carry out FWD in past. We should be doing such events in order to target more minority groups in future as well. This should be one of the main on going, always rolling and continuous activity for our team. Let's come up with the event calendar and event page for diversity team. If this is acceptable thought, I can work on this.


I think it's fantastic. Here is a list of important dates for minorities that I think we should work on (please, expand or remove if necessary)

  • FLISoL: It's the largest event in latam, being held in over 200 cities at the same time. I will make some efforts to put a fedora diversity talk in as many locations as I can. This will check the "Latam-Hispanic" group.

  • LGBT community: To raise awareness we should also held some activities during this day. However, since the worldwide celebration will be on [1] May 17, I guess if we held something the sat-20 will be fine. A panel like we did for FWD might be fantastic.

  • Disabilities: We should definitely include a day to celebrate those who despite the adversity, have conquer them and work with us at Fedora. The International Day of Persons with Disabilities will be next Dec 03 (sat) and I think we should host a panel where they can show us how have they conquer the IT world.

  • FWD: This was a succeess and I would love to host it again. I think that we can pre-plan this in advance, create all the resources we need to spread it wider and include more people.

  • Fedora Diversity Day: We don't have our own event and we should definitely do one. I would love this to be a yearly FAD or something that we can consider our own celebration to review numbers, strategies and so on. I'm sure we will work on having a FAD, so I think they will match and we will be able to have a proper diversity (general) event.

I am thinking about two things for this ticket -
1. Add the existing events to Diversity Team Fedocal so we know when they are around and begin our planning for them i.e. generating content pre and post event for CommBlog
2. Send out a call to community via CommBlog or ML, whichever appropriate asking them about local events they think are relevant to this discussion.

I would love to hear your thoughts on this.

What kind of content would we be wanting to generate?

If we are holding events on these days as suggested initially, we would like to publicize these events via CommBlog and post-event work on a CommBlog report about the event. This is the content part. Obviously, we also need to organize the event and plan the activities.

Btw as I have mentioned before I would like to change the dates. Last year was really difficult for me to get a lot of participants at Open Labs because at that time students (girls) finish their exam session and they leave Tirana to go to their hometown. Since is a really important event I would like to have more attendance, that's why I propose to organize it on September or October.
I think is really important that all the local activities should be at least at the same month, and I agree with @bee2502 that we need to publish an article on CommBlog about this event to invite all local Fedora communities to organize a FWD at their country with our help/support. At the end we can collect some pictures from the events or even interviews and post/share them on our channels.

@jonatoni @bee2502 we need to comeup with dates ASAP, so that we can draft a communication mail and a post about FWD coming up (atleast 1 month or 2 before the event).

@jonatoni if you are not joining the meeting tomorrow (which I guess will be on usual timings), can you please sent mail about the dates you want to pick up for FWD?

@amsharma I agree, we need to start preparation ASAP so that we have multiple events worldwide preferably in same timeline (hopefully, same week). Let's discuss this in upcoming meeting. However, let's have the planning and discussion on another ticket specially for FWD 2017 and not this one as this is a generalized ticket for all event suggestions. The new ticket is here #26.

I would also like to figure out all aspects related to Fedora Women (issue #19) before we go ahead with FWD as this event is a major milestone for creating awareness about Fedora Women.

LGBTQA 2017 happened on May17.
Next event we are targeting is FWD 2017.

This ticket can be closed after we have individual tickets for all the events mentioned in comment#0

We also had some involvement with FLISOL.

I would really like to do this before we close the tickets, as mentioned above -

@bee2502 I totally agree with you to add each event on Fedocal so even other people can see the events that we will organize.

@amsharma @bee2502 can we please close this ticket and open a new one for each event? In this way we can avoid having a lot of comments which makes harder to follow the discussion.

We should have Outreach and/or FW events listed on one place. Otherwise this concerted effort gets splintered. I agree with jonatoni, BUT, after we have a CLEAR and canonical place to post these events. (They seem to get ignored or not noticed otherwise).

Being inclusive is project wide effort, not just a compartment or place in the project. Many subprojects treat Outreach efforts as something for others to do, not THEIR group. I am against closing this ticket until then. Depending on how the folks we are trying to empower feel, of course. Possibly recreating this ticket might seem best. I'm an Ally here, and will do what is best for those we are working to make feel more included. :)

FWDs are happening around the world and like everything there have been a few ups and downs with organizing effort from Diversity team. Here are a few things we could Iook at for our future Fedora Womens Days and also other events.

  • Start planning 2-3 months in advance especially for organizing timeline, badge requests and any printing requests.
  • Decide a Twitter/Facebook/social media hashtag for event promotion. We didn't have one for FWD 2017.
  • Timely scheduling of Community Blog and Magazine posts.
  • Place orders atleast a month early if we are printing and shipping stickers or swag.
  • Send an email to organizers with useful information like Twitter hashtag to use, linking Fedora accounts on social media in their posts, with links and QR code to award badges to attendees and any other information related to specific goals to promote during the event.
  • Possibly ask the organizers to write three top goals how this event would impact their community when they request for budget. This will help us with measuring the impact later on.

Now that all the events for FWD are done, We should plan ahead for our next diversity event.. Which should be - DIsability Awareness Day Dec 03 ??

@amsharma We should file a new ticket for any events we want to plan. For the reasons discussed in our Flock session, I think we should avoid Disabilities Awareness Day and focus on areas where our team members have direct experience.

+1 with @jflory7.

I am personally not comfortable with using Disabilities as a word in an event title. We should definitely brainstorm as a team in our next week and find some other event we can organize.

It does not have to be FAD ( but good if it can be). We can have events across the world to spread knowledge about our existence and what we do and also to involve people. Thoughts?

Follow-up from Flock

In our Flock workshop, we discussed our event planning process and received helpful feedback from attendees on how to target our sessions to be effective and also fun. We agreed there to focus on planning events based on areas of experience or strong interest by the team.

The example that came up was about Disabilities Awareness Day. Some attendees noted that this is accidentally exclusionary, since many people who have a disability of some kind (e.g. hard-of-hearing / deaf) wouldn't consider themselves with a disability, but a more specific form (like being deaf). We also determined that our events are most effective when we have team members who either identify as the underrepresented group we target or have experience working with others in that group.

We agreed at Flock to consider new events that meet the two points mentioned above.

New tickets for new events

For any new events, a new ticket should be filed to discuss and plan the specifics for that event. At Flock, two ideas we had were organizing an event for…

  • Mothers in open source
  • Older contributors in open source (e.g. people re-entering the field)
