To discuss and have clarity on how we want to run the "Coffee among friends session" at Flock 2019 - https://pagure.io/flock/issue/166
Brainstorm ideas to extend the event. Following are the specific things we need to brainstorm on
We need to come up with a general question structure for or group or important questions for the listeners to keep the conversation smooth and empathetic.
To start the conversation - These set of questions should be welcoming the participant to Fedora community and ask about their experiences in general.
To keep the conversation light-hearted
Asking to open up - Sometimes if the participant is hesitant to open up, these questions will help the conversation to run smoothly and prevent awkwardness to drive away from the participants.
How to listen mindfully - This is a very important step. We should make sure not to overwhelm the participant with questions and at the same time ask them enough questions to make them feel they are heard with all patience and empathy.
Plan all the activities to include during the session.

This is simply fantastic @recursedd , thank you so much for organizing the data!
The main idea is that people who is willing to participate is already willing to share. It cannot feel like an interrogation, but more like providing useful information.
First (and mandatory) questions should be:
No advice policy - We need to remember that we are here to only listen and gather info for the improvement of the community. We are not professional counselors to be able to provide any feedback.
Share a casual 1-on-1 coffee with your listener, so it's not an uncomfortable interview. Have a chat anonymous online on IRC/telegram if someone is uncomfortable to do a physical chat. Anonymous chat box to help participants put feedback, suggestions and experience in small chits to help the community improve. Actively go through the suggestions and gist up the experiences in a 25 min talk.
This already looks fantastic!!!

Thanks @recursedd and @tatica for launching this discussion!
Firstly, I am generally +1 to the above comments and suggested questions. I have some more specific feedback below:
@tatica: How comfortable do you feel inside the Fedora Community? Have you feel under any kind of aggression or have you feel that you have hurt someone inside the community? Is there something you will change about the community behavior or the way people interact in the teams you're part of?
I like these questions, but I would also like to know more about the positive experiences and things people like about the Fedora community. This can help us understand what we do well and try to use that as a model or example for future work. Perhaps adding these questions:
@recursedd: We need to come up with a general question structure for or group or important questions for the listeners to keep the conversation smooth and empathetic.
I like the proposed structure so far. I think a web page we can refer to during the interviews will remind us of our notes and questions. Could we start a wiki page with some of these ideas?
@recursedd If you have some time, it would be awesome to collect these ideas as a wiki page, maybe here: https://fedoraproject.org/wiki/Diversity_and_Inclusion/Flock_2019_interviews
@recursedd: Plan all the activities to include during the session.
I was thinking, maybe we should reframe our Flock CFP proposal. Instead of proposing a fixed time block, what if we ask for it to be included on the schedule but not at any specific time? We are asking people to contact us for 1x1 interviews, so maybe it is better to encourage people to reach out to us to find a time that works best for them. Alternatively, we could keep a scheduled 50 minute block for interviews, but I don't like fixed time blocks for stuff like this.
Does this suggestion make sense? What do y'all think?

+1 , Asking the right questions is the key here.

50 min block is better. You never know when someone will be free and you will be free at the sametime or not.
@amsharma: or maybe in doc site?
Normally I would agree, but since I see this being a quick notepad, I think a wiki page is more useful. Plus I might want to make fast edits from my laptop or phone after an interview, so I think there is a benefit, this time, to using the wiki. :)
@amsharma: 50 min block is better. You never know when someone will be free and you will be free at the sametime or not.
Okay, makes sense. We can always be flexible outside of this time too.
Maybe for the Flock organizers' benefit, we can tell them we do not require a reserved room for this, only the time slot, since they are 1x1 conversations? I want the Flock organizers to have less pressure of dedicating a room for this idea when we might go for a walk, grab a coffee, or something else that won't be in a big echo-y room.

Definitely, yes.
You can see that in the main proposal flock#166 is divided in 3 sections:
I'm +1 about not having a specific room for the inverviews/info-gathering because I wouldn't like to have a formal feeling on the overall activity. People must feel comfortable at all times, so if the talk happens while we are inside a hackfest, or while having a meal, or while we change from one room to another, then go for it.
I wouldn't like to set up an amount of time either, cause people might just want to give you a small 10 min brief, or someone who has a lot to share might take longer.
This is getting so much shape! thank you so much!

Discussed in 2019-07-01 meeting.
Discussed briefly. We asked the team to share any feedback or thoughts in this ticket. I moved it off of the list of tickets to cover during meetings. @tatica, feel free to add it back to the meeting agenda if you want to raise any specific points for wider discussion during a meeting.
@tatica To your last comment, +1 from me. Some specific comments below:
@tatica: 25 minute Talk: which should be ideal to have at the last day, so that gives enough time to process part of the info and get some concrete highlights to work on.
Do you think we could roll this into our D&I hackfest agenda (#109) since it is a two-hour session?

+1. I think we should add a comment to the Flock CFP ticket to make it clear we do not need a dedicated space for the interviews. It might not be clear to the organizing committee as written, and it could help our odds of getting this on the official schedule (i.e. what we really want).
Do you want to add a follow-up comment to make mention that we do not require a dedicated room assignment for the interview sessions during Flock?

Sounds great!
@jflory7 Do you want to add a follow-up comment to make mention that we do not require a dedicated room assignment for the interview sessions during Flock?
We do not require a dedicate room for most of the activities on this ticket, we would only like to have a minor space at lightning talks or opening day to let people know we will be ready to gather interviews or coffee talk.
All the activities will be held during the length of Flock itself
Is this accepted? Did we get any confirmation?
Yes, accepted
Awesome news! Congrats on the acceptance.
@tatica, I am leaving this one assigned to you. I think a good next step is organizing the ideas from this ticket into a quick guide for interviewers on the wiki, perhaps here:
https://fedoraproject.org/wiki/Diversity_and_Inclusion/Flock_2019_interviews
The wiki page can be our "cheatsheet" during an interview, with suggested questions/prompts and other reminders/advice for interviewers.
Let us know how we can support you in organizing this.

Congrats @tatica on session being accepted. I mentioned this in #107 but it would be great if we can collect feedback on our existing video from community, especially ambassadors. This can help us in planning and deciding focus for a new one. Some relevant questions -

Thx @jflory7 !!
I just created the wikipage and added a resume of the info we already discussed here. Please, anyone feel free to edit it. I will be editing until Flock, so there's still plenty of time.

Congrats @tatica on session being accepted. I mentioned this in #107 but it would be great if we can collect feedback on our existing video from community, especially ambassadors. This can help us in planning and deciding focus for a new one. Some relevant questions - Do they know of the video? Have they used it at event or conference? If no, why not? How was the video received at events and conferences? Did they drive any engagement because of the video? What new video content would they like to see i.e. more focus on technical/ non-technical contributions or SIGs etc? What should be our focus?

@tatica can u please add some questions related to feedback on D&I Team activities - which ones is the attendee aware of? did they see the video? what would they like to see from us?
I am sorry I am unable to log in to wiki and edit.

How comfortable do you feel inside the Fedora Community? Comfortable - but bored
Is there something you will change about the community behavior or the way people interact in the teams you're part of? drop off rate
What is/are your favorite part/parts of the Fedora community? Doing new things instead just putting some fires down
What do you think the Fedora D&I team is doing well? (Conversely: What do you think the Fedora D&I team could do better?) Events have more information for making people feel comfortable. Still some work to do on big general support social networks.
How many people participate on the activity? : 8
How many Interviews were in person : 5
How many Interviews were online : 3
Comfortable inside Fedora: Yes: / No: Yes: 6 - No: 2
Hurt someone inside the community : Yes: / No: Yes: 4 - No: 4
Thanks for organizing it @tatica :tada: I'm closing this ticket as complete. The next steps would be to come up with ideas on how to improve the things you have mentioned - but it is better to open a new ticket (or tickets) with small tasks so we can have new people engage.
