Please attend the APAC meeting this Saturday. This ticket will be discussed then. We're happy to reimburse whatever events our Ambassadors host, we'd just like them to follow the guidelines like the rest of the community. The issues I see with this ticket are:

• Was not approved before event (the ambassadors never got a chance to decide if the finances were OK for this event, or to provide suggestions on how the event might be improved)
• requests 200$ for a release party while FAmSCo suggests 100$
• no team member has attended an APAC meeting to get this ticket discussed in a long time. The "meeting" key word was added 5 months ago. We've held quite a few meetings since then, but no one from the organizing committee of this event has attended them.

I don't recall discussing the other release party you've mentioned, but you probably didn't run into issues because you got approval for the event before you went ahead and spent the money.

I feel you're misunderstanding the situation. Every event needs to be approved beforehand. This gives people the opportunity to judge the event and make an informed decision on the amount of money that should be allocated. This release party, as you can see from the ticket, has not been approved. It is the responsibility of the ambassador in the organizing team to:
- file a ticket well in advance
- provide an approximate budget that he will require for the event
- provide some details on the organization of the event that will enable other ambassadors to decide whether or not the budget requested is appropriate
- call and attend an apac meeting where this will be discussed, clarify queries, and via this process get the ticket approved.

I repeat that this ticket has not been approved yet. The reporter has bumped the ticket twice, but not attended any meetings to get the ticket discussed.

Any ambassador can request a meeting to get his ticket discussed. We send out reminders to the ambassadors mailing list. Anyone from the organizing committee can be present at the meeting. Ideally, the reporter of the ticket should be available, but it isn't a rule. As long as someone can clarify doubts that folks present, it's all OK.

Please use common sense and upload them elsewhere. You can upload them at your fedorapeople space for the time being. We're looking into increasing the upload limit and it'll be done shortly. When the size limit has been increased, they can be attached to the ticket here.

I think most of them are fine, but would it be possible to re-do the Food receipt? Nothing can be made out in it at the moment. Jurank has put up individual jpgs, but they're really not clear enough. Also, Jeorg requests individual pdf files.

The trac front page says:
- Please attach receipts/invoices as a pdf! Not as a imagefile!
- Please do not aggregate tickets or collected invoices - we have to split this for reporting again!
- And please remember that we can not always search your paypal accounts from the history tickets, so please just add them to your requests

These are small things but they make the task easier for Jeorg and everyone else who has to finally file these to RH.

When you upload the new versions of receipts, please obsolete the existing attachements if you can. That'll help keep things clear and avoid confusion.
