#310 [Funding Request] SCaLE 19x 2022
Closed: Complete 2 years ago by riecatnor. Opened 2 years ago by lajuggler.

What is the event and why should Fedora do it?
Southern California Linux Expo (SCaLE) is a Linux, free software, and open source conference that takes place in Pasadena, California.

Event Date:
SCaLE 19x – the 19th year of the Southern California Linux Expo – takes place on Mar. 3-6, 2022.

Description:
SCaLE covers a region that spans the west coast, but also includes many guests worldwide. We as Ambassadors see the event as a focal point that draws visitors from all over the state of California and around the world. Since this event is the only one of its kind in this geographical area, we can provide Fedora outreach and education to the Greater Los Angeles area. Most of the attendees are from locations that have and participate in Linux User Groups in their local states.

Each year, we bring forth the vision that Fedora is more than just another distribution. We interact with guests to see how they find Fedora useful, versatile, and feature-rich in their daily lives demonstrate how helpful the community is. Also the venue is in proximity to Pasadena, drawing locals and neighboring communities.

We plan to provide booth demonstrations of the distribution and to entertain feedback and discussion. Our goal is to educate attendees about the various spins and environments available. @ichavero recently submitted a talk on "Linux containers internals".

Event Location:
The event primarily takes place at the Pasadena Convention Center.

Swag needs (and why):
T-shirts, stickers, pens, anything to encourage guests to stop by and visit.

In the past, installation media have been popular among visitors, many of them stopped by to try Fedora in their own machines. Since DVDs are kind of deprecated, we may want to have USB flash drives available to hand over upon request.

Banner shipment is also requested

Budget needs (subject to the Advocate limit):
I am requesting budget for @aacosta and @lajuggler @ichavero @paradoxguitarist @vwbusguy
to attend and help with the Fedora booth.

Event Budget:
See: https://fedoraproject.org/wiki/SCaLE_19x_Event#Event_Budget

Target Audience*
Conference attendees who use Linux, especially those who use Fedora, are our focus.

Hi @lajuggler thank you for opening this ticket.

Funding requests have gotten a bit more complicated due to Covid-19. With the guidance of the Fedora Council, I am working with Mindshare and Red Hat Events to work on approving this funding request. I will provide any updates asap.

I saw that SCaLE has been postponed to July 28th-31st 2022 and moved to LA.

@lajuggler Please update the event budget estimate when you are able and ping the ticket so we can evaluate. Thank you!

Hello @riecatnor :

Great to hear from you. Apologies for the delay here; I've been taking care of some funeral matters here and am just catching up.

We await final word on the specific venue for the event and have heard it may be situated at the LAX Hilton. Our team meanwhile presently reviews our budget line items with that possible venue in mind.

The swag request is also updated here:
https://pagure.io/fedora-budget/issue/186
Could you arrange for that to be assigned to someone as the event draws closer?

Thank you.

Hello, First of all, my condolences, I hope you're okay and well with your relatives/friends

I'm favor of +1 swag and +1 to budget. I hope It will be an amazing event, good luck.

I saw the wiki and so far this looks great!
Hoping Scott makes it :)
+1 and looking forward to the event report once things are wrapped up

Thank you for the condolences. I appreciate your concern.

Thank you @thunderbirdtr @siddharthvipul1 @riecatnor for facilitating this request.

I have updated the budget with the latest information as of this writing.

Please let us know if you have additional questions. With three +1s, sounds like we're ok to begin booking arrangements. Please confirm.

Have a great week.

-Perry

Hi @lajuggler - we have recently received some news that we need to update our funding eligibility process [0], which we are currently working on finalizing and sharing with the broader Fedora community.

I need to request that any non-Red Hatters who are a part of this request to fill out a new ticket using the "funding-eligibility" form [1] found under "templates" on the budget pagure. I have made the team working on this aware that this request is urgent, so once these tickets are opened we will hopefully have an answer within a week.

Apologies that this request is caught up in the middle of this transitory time, and we appreciate your understanding. Thank you!

I'm planning on being there and am not requesting travel funding. Looking forward to it!

@paradoxguitarist confirmed via email that his work will be paying for his stay. @ichavero and @lajuggler are redhatters so I guess it'll be only me for budget elegibility

Hi all- thank you for the quick response.

@aacosta I will provide an update asap

Hi folks- @aacosta and I worked out the travel funding plan for him and it sounds like everyone else is also set with their own funding or a Red Hatter so ya'll are good to book things. Thanks!

Hello,
Just one comment, my expenses are considered in the budget but I didn't fill the elegibility ticket because I'm a Red Hate employee. Is that ok?

Hello @riecatnor - could we arrange for an event box containing swag, 2 laptops, and banners and tablecloth be arriving, ideally 7/14/2022 [to hopefully factor in potential shipping delays...]?
