Hello Fedora community,

My Linux talk has been accepted to be presented in the event called Fosscomm 2019 as a Keynote.
Many other free software projects are going to have a stand there, I was planning to set up one for Fedora.
Currently, I am living in Edinburgh for more than a year. I searched for cheapest costs to go there as follows:
- Flight ticket is around £ 374. [01]
- Three nights in an hotel in Thessaloniki costs minimum £ 40. [02]
- One MacDonald costs 6.25 €. That means that food for three days are around £ 55. [03]
- Materials to setup a Fedora booth can cost around £ 20.

In total is £ 489. In case, the project can help in this initiative for Greece, I would like to count with the Fedora sponsorship. Thanks in advance.

What is your talk about? What is the event about? Why should fedora participate? What is the theme or goal with the booth? How many people are expected? What does success look like?

What materials do you need other than swag? When is the event?

Thanks for the quick reply.
I contact the organizers and they said that only the sponsors that are mention in the Website https://2019.fosscomm.gr are going to have a booth, but in case Fedora decide to approve my request, they can arrange an extra space for Fedora.
Additionally, based on the previuos events they orgnized, they are expecting 400 attendees, they are organizing workshops and they say that is the key to have a succesful event.
My keynote is attracted to them because I am going to talk about Linux on supercomputers. They know that I did my second master studies in High Performance Computing in a top 18 university around the world (The University of Edinburgh). They have science projects in Greece and they are interested in using supercomputers too. I can create fedora frames and I also have some stickers from the Linux at Edinburgh event I organized. If I can say what I need for the booth, I would ask for a table cloth of Fedora, but if you dont have that, I can also create one with blue and white gloss papers. I will set also a laptop with Fedora and the attendees can see how Fedora works and how they can get Fedora.
The name of the event is FOSSCOMM. They are in contact with the opensource initiative in order to add this conference as an affiliate member and it will be announced at the beginning of the event. I think is a good oppportunity to include Fedora in this kind of event, which is by the way free with no cost for any attendee.
The dates are on October 11th to October 13th.

I think this is a good opportunity to set a booth, but I have some thoughts:

Your talk has a Fedora Centric message or is an HPC Linux talk? (Linux dominates the Supercomputer top 100)

Is this event science-centric, FLOSS-centric or Contributor-centric? Can you share us the scheduled talks to understand more about the event?

Since Linus Torvalds has released the first version of Linux in 1991, it has been helping foster other worldwide projects. That is the case of Raspberry Pi and Android, as well as the technologies: IoT and the drones that were also created onwards by Linux. The initiatives of Government IT and real-time processing were also possible thanks to Linux. In this matter, it is also worthy to mention the 3D printing movement that was also driven by Linux.
Nowadays, the top-five IT companies in the world work with Big Data, and, supercomputers allow computational intensive tasks to analyze Big Data. According to the Top500 list, all the 500 supercomputers use Linux as an operating system. I have worked with supercomputers in the USA and in the UK. My talk provides a glimpse of supercomputers and I will share the experience I had when I worked on EPCC supercomputers that have processors Intel and ARM. Lastly, I will describe some issues I faced when I was using the open scientific application called CP2K such as portability, scalability, and compatibility of Linux packages.

More or less 607.12USD (£ 489) for being a sponsor in this event looks cheap (I ask the same for an event in Mexico and was twice this cost), and I know the work of @yulytas as ambassador.

Other local open sources and free software projects are also involved in the organization of FOSSCOMM 2019. This is good opportunity to show Fedora in a Greek conference. In the booth I can show Fedora Editions, Spin and LABS to have more users and contributors to the project.

I was wonder when this ticket is going to be approved or reject
The organizers are working this weekend to release the new version in the Website inlcuding Fedora as aponsor
Additionally, the flight tickets are raising while the days come
And, in case is OK, I was thinking in buying the materials to create the create the decoration this weekend and the followers because I do not have much time on weekdays.

@yulytas this ticket should really stay open for 3 more days as you only finally provided the information needed 8 days ago. However, in order for you to possibly receive any swag, we need to get this moving.

This is approved. Open a budget ticket to manage shipping of swag and tablecloths. Remember that our funding may NOT be used to produce swag items locally.

After your event please file a new budget ticket for reimbursement.

May I ask if the shipping can be done to a house in Greece for a Fedora people in Thessaloniki?
I will choose the cheapest option so I will not carry more a single bag in my back.
Another question I have if I am not allow to buy any material for the decoration of the booth. I mean, please confirm if I am only allow to decorate the booth with the thing you are going to ship.

@yulytas we can ship teh swag to where it need to go. If you ask for a tablecloth it will need to be returned. Please consider returning any extra swag so we can use it and it doesn't just sit somewhere.

What kind of decorations are you trying to buy? We don't support the production of SWAG.

I can colaborate with my own money if there is not material for decoration, I was thinking in printing more Fedora theme to put in the walls and around the booth. Since this is the first time I am setting up a booth I like to attarct people with table games with Fedora topics. I will take videos and photos to show what I did in the games :)

Why would you need the table cloth? We need it back for more events. What is the goal in having it sit with you for two months?

Finding this out this late in the process is problematic. Submit the appropriate ticket int he budget repo and we will see what we can do.

Updates.

Shipping will be requested on Monday - we had a conflict with the Fedora Tablecloth. I think the address is buried in the flight details :( - the template that makes things easy was not used.

The flight tickets are held up because the template wasn't used making them super hard to process. Additionally the request here was for a return on October 15 but flights have been requested for a different day (October 17) I am trying to find out why. Lastly there is now a new request for a train in the budget ticket that was not listed here.

@yulytas can you send me a mail (bt0dotninja@fedoraproject.org) or a pm on IRC (bt0)? I want to help you to speed up the process

I support the votes in favor of this as a way to get sponsorship, and I love when we can sponsor Fedora speakers at non-Fedora conferences. @yulytas, especially since we're going above and beyond to purchase tickets in advance and so on, can you please make sure there is some Fedora content in your talk? Not like an advertisement, but something directly relevant? I know that much HPC/supercomputing work uses our downstream sibling CentOS — but often in concert with Fedora EPEL.

Particularly, I see that CP2k is in the Fedora collection, so that might be a natural place to show off Fedora's work!

@mattdm I worked also with Fedora and CP2K also in my dissertation but I found may difficulties with other packages in the supercomputers at EPCC.

For sure in the booth I will show Fedora and CP2K! :)

Updating, plane ticket is finally bought. @yulytas is arranging her train travel directly.

I am printing many Fedora logos in case the table cloth of Fedora will not be delivery.

My slides are going to be public then you can see what promotion I did to Fedora on the event.
