Create milestone + component for FUDCon APAC 2015

= reason =

FUDCon APAC 2015 is happening in Pune, India, in June. For accepting subsidy requests, we need a milestone for it.

= recommendation =

I've created the component, and you'll see this ticket is now assigned to it.

I also need a list of milestones you'd like created, and their deadline dates.

Thank you. For now, please create just one milestone, FUDCon Pune 2015, like for the other FUDCons. The deadline will be 28 Jun, the last day of the event.

If the default owner and cc fields can be set for this component, please use siddhesh@fedoraproject.org as the owner, and amitshah@fedoraproject.org in the default cc.

Thanks,

Unfortunately I can't set default cc based on the component or milestone, only site-wide. I did set siddhesh as the default owner for the Pune tickets, though.

I would also like to request that you guys set a full set of milestones by the end of this coming week. This should include things like decisions on subsidies. These milestones give required transparency to the community and also accountability by the event owners. I'll revise this ticket to put that action on siddhesh for now; it doesn't matter who creates the schedule, as long as there is one.

The full list of milestones we got together last week are here:

I've merged a few and prepared a shorter list here. For example, I've merged talk acceptance and speaker communication into just talk acceptance.

  • CFP end
  • Evaluate Proposals
  • Accept talks
  • Book travel
  • schedule preparation
  • speaker kit (t-shirts, lanyards, etc.)
  • attendee swag (DVDs, stickers, etc.)
  • Materials (banners, standees, brochures)
  • Venue survey
  • Video coverage setup
  • Venue logistics
  • Day 1 end
  • Day 2 end
  • Conference end
  • All expenses filed

Amit, Paul, does this list look OK to y'all?

Replying to [comment:7 siddhesh]:

  • CFP end

We may not need this -- there's nothing we need to plan for against this milestone?

Amit, Paul, does this list look OK to y'all?

Otherwise, it's fine, thanks.

The items on the list look fine. I also need dates for each entry.

With the dates:

  • Accept talks
  • 3-Apr-2015
  • Book travel
  • 15-May-2015
  • schedule preparation
  • 17-Apr-2015
  • speaker kit (t-shirts, lanyards, etc.)
  • 18-Jun-2015
  • attendee swag (DVDs, stickers, etc.)
  • 18-Jun-2015
  • Materials (banners, standees, brochures)
  • 18-Jun-2015
  • Venue survey
  • 20-Jun-2015
  • Video coverage setup
  • 25-Jun-2015
  • Venue logistics
  • 25-Jun-2015
  • Day 1 end
  • 26-Jun-2015
  • Day 2 end
  • 27-Jun-2015
  • Conference end
  • 28-Jun-2015
  • All expenses filed
  • 17-Jul-2015

I realized late there was probably a need for a "travel subsidies decided" milestone. However, I've made all these changes. If you decide to adopt this additional milestone, just reopen this ticket with details and I'll be happy to take care of it. In the meantime, I've assigned all travel subsidy tickets to the "Travel booked" milestone.

I don't mind setting ourselves a deadline of deciding on all travel subsidies by 7th May. Amit, what do you think?

and I just noticed that this might be a typo:

schedule preparation

17-Apr-2015

I think you mean 17-May, Amit?

Yes, We could add that. I'll re-open the ticket so it can be added.

I'm also wondering: should we accept some requests after our deadline if we have travel budget still left over? Or should we provide more subsidies to existing tickets in such a case?

Yes, Paul, please modify this.

Thanks.
