#118 a change of meeting time?
Closed: Fixed 4 years ago by catanzaro. Opened 4 years ago by petersen.

The current meeting time clashes with a regular work meeting.
Can we see if there is any better time/day for this meeting?
I know it did take some time to find the current time...

I think a new survey should be sent out. Any opinions on whether to conduct the survey and establish a new schedule before or after the break? I'm agreeable either way, with a slight preference to making that an action item for this week.

We tried this fairly recently, in #94, and had a lot of difficulties to find a new time. But after Ryan resigned, I found the following times would work for everyone else:

  • 10 AM Tuesday
  • 11 AM Tuesday

(Eastern time). Would anybody have a problem with either of these times? If we're really lucky, maybe nobody will object and we can just pick one of those instead of doing a new poll.

Since we ran the last poll, we've had a couple new members join the WG, so doing a new poll would make sense. But time polls are difficult, and I wouldn't expect to find a time that works for everyone. (Also, for Jens we should try to find a two-hour window that works, because Singapore doesn't have DST and we don't want to have to reschedule again twice a year. Even harder.)

Let's wait until start of next month to run a poll. New years often bring new meeting times. :)

11 AM Tues works for me, I have a conflict at 10 AM. However, I agree with @catanzaro that new year's bring new meeting times. I also suspect there will be some re-orging soon which may have an impact on meeting times.

Yeah if possible I would really prefer earlier than 11am EST, since I am 1 hour (modulo 12) ahead (EDT is better for me: 0 mod 12).

I'm busy at both 10 and 11.

I've peeked into the calendars of the other Red Hatters. Langdon and Matthias are busy during the 10 AM slot. Christian, Kalev, Langdon, Matthias, Owen and Jens are all busy at 11 AM.

OK, action for me: run a new time poll.

I'll wait until next month, unless anyone is particularly impatient to work things out ASAP. Let's assume the January 6 meeting will occur at the current time (back on IRC) on BlueJeans, and we can aim to have a new time for next meeting after that.

If we can consider half-hour slots in the poll, that might make sense. Our current time of 9:00 Eastern (14:00 UTC) is very hard for me [nanny arrives 8:30-8:45 to watch the baby, then I need to get the older kids to pre-school by 9:00], but half an hour later would be fine.

to be clear, the calendaring system we are using in RHT is not quite to the level of ability or quality as Microsoft Exchange 2000. As a result, it misreports my busy time pretty drastically (and doesn't support the concept of "may go to meeting if free" aka "tentative" at all). So, I stand by my earlier comment, I could do 11 but not 10 (insert smiley-with-regards-to-aday and massive-angry-emoji-with-regards-to-gcal-terribleness).

OK, welcome to 2020!

I understand our current timezones stretch from Colorado (Chris) to Singapore (Jens), yes? So here is what we're dealing with.

We're going to need flexibility from Jens and Chris to make this work. Jens, how late are you willing to go? Are you willing to start at 10 PM local time? 11 PM? We are counting on you being a little nocturnal here to find a time. And Chris, how early? Is 6 AM OK? Or 6:30 AM? If you don't want to start before 7 AM, that's 9 AM Eastern, and we can't start then because Owen can't make it, so that pushes us to 9:30 Eastern, which would be 10:30 PM for Jens.

Once we know what Chris and Jens are willing to do, I can create a poll.

Does this mean you need to either finish the meeting before 8:30, or start after 9:30? Then we should block out the entire 8:30-9:30 time slot. And also block out all time slots before 9:30, since to finish by 8:30 Eastern would mean starting at 5:30 Mountain, and expecting Chris to attend a meeting at 5:30 is a bit harsh. And we can't go too late on Jens, so that really only leaves 9:30 Eastern as reasonable.

So, I guess instead of a time poll, we can just do a day poll? Pick the day you'd rather meet at 9:30? So maybe we don't need a complex meeting planner poll for this after all.

Question for WG members: which days would you be unavailable to meet at 9:30 AM Eastern?

(I guess Jens cannot do Mondays, since that's just a half hour later than our current time?)

4am, 5am, 6am - it's the same. I'll make it work. And any day.

I have to be at work by 11am US/ET on Mondays and Fridays, so 9:30-10:30am is pushing it. On every other day, I leave for work at 11:15-11:30am US/ET. The first Friday of each month is the DNF community meeting from 10am-11am US/ET, so I can't make it then either, so Friday mornings are essentially out for me once a month.

I cannot do any meeting from 1pm-2pm on a weekday, as I have various work commitments. I cannot meet during 12-1pm US/ET on Tuesdays as I'm in the OKD WG meeting then. I have regular work commitments at 12-1pm US/ET on Wednesdays and at 3-4pm US/ET on Thursdays.

I cannot do any meeting from 1pm-2pm on a weekday, as I have various work commitments.

There's no way the meeting would be scheduled anywhere near that late, so no worries there.

I think we have two basic options:

  • End by 8:30, so either start at 7:30 or reduce meeting time.
  • Start at 9:30, or 10:00, or thereabouts, Tuesday/Wednesday/Thursday since Neal can't do this time Monday/Friday.

I am okay with starting 11pm SGT, but no later than 11:30pm.
If we can find a workable EST time, it will also work fine for me in EDT. :-)

Note that 11pm SGT is 10:00 Eastern.

Hi EVERYBODY,

Please participate in this meeting time poll ASAP: https://doodle.com/poll/tuq339g8qbhnnkwn

We might use this new time as early as next week. Thanks.

We're still waiting for @kalev to respond, but Tuesday 9:30 and Thursday 10:00 are fully green, so depending on @kalev's response we will likely pick one of those times.

We can also do Thursday 9:30, but that is not preferred because Langdon has marked it "if need be."

(All times Eastern)

OK, great. That worked really well, because we have three acceptable meeting times (that's three more than I was expecting), and two meeting times that everybody rated as good. Those two times are Tuesday at 9:30 Eastern, or Thursday at 10:00 Eastern. So now we have narrowed it down to those two times, and can pick whichever we prefer, knowing that everybody can attend either time.

So if you have any preference between the two times, please say so here.

I understand many Red Hat employees have another meeting after that Thursday time, so this probably boils down to preference as to whether you prefer to bunch your meetings together to get them out of the way all at once, or whether you prefer to spread them out. Also: whether you prefer to have a soft cutoff time on Tuesday, or a hard cutoff time on Thursday where everybody really needs to leave for the next meeting.

Alternatively, I bet Jens would prefer that we pick the Tuesday time so he can go to bed a little before midnight rather than after.

OK, Tomas can't make the Thursday time. Although he's not a WG member, he has been nominated so let's use him as a tiebreaker and select the Tuesday 9:30 AM time instead.

Next meeting: Tuesday, Jan 14 at 9:30 AM EST.

(P.S. Remember I have sent my regrets for next week's meeting, so I'll see you again on the 21st.)
