Hi @bee2502 and @deneb! Thanks for proposing a new FWD event in Munich. This proposal is now approved for October. :tada: See some of questions and feedback below:

Please update the ticket once a final date is set for the event.

Intro to Open Source and using open source alternatives (we will talk about fedora spins)

Instead of Fedora Spins, which feature different desktops available in Fedora, could you talk about Fedora Labs or Fedora Editions?

The Labs may be more interesting for your audience too, since the Labs focus more on doing cool things with Fedora. The Labs or Editions you promote depend on who you think your audience will be. Some of my favorites are the Python Classroom Lab, the Scientific Lab, and the Security Lab.

I also hope the resource pack (explained below) will include these things too!

Possible hackfest together with Libreoffice community

Big +1 if you can swing this! I know a bit more from talking with both of you about it offline, but I think it's a great idea.

We need stickers and swag!

We'll have more instructions on how to receive these items soon.

In the meanwhile, consider these points while you plan your event:

Resource pack

We plan to share a resource pack with FWD event organizers in early September.

The resource pack will include information on Fedora editions / objectives, content on Fedora <3 Python, and more. Once available, we encourage you to make use of it for your event.

Ideas for getting involved with Fedora

Please promote different ways to get involved and participate in the Fedora community.

When promoting the Fedora community, we encourage you to include other opportunities to contribute across Fedora. A great resource is whatcanidoforfedora.org. An overview of the different Fedora sub-projects is helpful to include. We plan to include other suggestions for this in the resource pack.

Participation metrics

Please collect participation metrics about the number of attendees and other information you think is useful.

We want to better understand how FWD events impact the local communities and Fedora. At a minimum, please note the number of attendees at your event. Other numbers may be useful depending on your event.

Some suggestions are…

  • Gender ratio of attendees
  • How many people are newcomers and how many people already are contributors / have a Fedora account
  • Badges earned by attendees during event (not including attendee badge)
  • Other ideas unique to your event and audience

According to https://pagure.io/mindshare/issue/32 , we need to send mail to bex (Brian Exelbierd bexelbie@redhat.com) in order to get the swags/stickers for the Fedora Women Day event.

I request organizers who need to get these swags and stickers to please mail Brian Exelbierd bexelbie@redhat.com asap in order to get them timely.

@bee2502 any update from you for the dates?
The proposed ones are from Oct 26 to Oct 28. Could work for you?

No shipment information has been received for this event.

Reimbursement Process for FWD

Open a ticket in the Budget Repo. The ticket must contain the following information:

  • Ticket URL of approved FWD event from the diversity repo
  • Link to the event blog post with some pictures
  • Paypal address and/or transferwise email/bank details
  • Readable copies of all receipts, pdfs preferred
  • List of all receipts, what they were for generically and the amount in the currency of the receipt (i.e. Food @ Walmart 1500 INR)
  • Preferred Reimbursement Currency. If that currency isn't possible, you will get USD.
  • Any additional notes required for the reimbursement, for example, if your country has paypal fees for receiving money, then include the fee calculation information and a link to the source information

Thanks!!

Some more questions from the hosting company for having the final decision for the location:

  • How many attendees could join the event
  • Who should take care of the foods/beverages
  • Event schedule (start-end)
  • Who should contact the local universities
  • How many staff people are required (front desk/setup/cleaning)
  • Hardware required and needs (projectors, extra power plugs, etc)
  • Any other relevant information ;)

Some more questions from the hosting company for having the final decision for the location:

How many attendees could join the event

I am expecting about 30 attendees

Who should take care of the foods/beverages

Fedora has provided budget of about 100 USD, but we also welcome other sponsors

Event schedule (start-end)

5.30 pm - 9 pm

Who should contact the local universities

I have a few local contacts but since the space has a partnership with LMU, that would help too

How many staff people are required (front desk/setup/cleaning)

About 2-3. The more, the merrier. Also, if someone from staff is working on open source and would like to speak any it, they are welcome

Hardware required and needs (projectors, extra power plugs, etc)

Yes for Projecter, power plugs.
@jonatoni @deneb please add anything else you feel relevant

Any other relevant information ;)

If anyone from staff would like to.speak about their open source contributions, we are open to proposals.

Hi @bee2502,
thanks for the reply.
Few more questions and clarifications.

Who should take care of the foods/beverages
Fedora has provided budget of about 100 USD, but we also welcome other sponsors

In case of a higher number of attendees I suppose the costs should be sponsored by someone else, right?

How many staff people are required (front desk/setup/cleaning)

About 2-3. The more, the merrier. Also, if someone from staff is working on open source and would like to speak any it, they are welcome

I probably asked in the wrong way, sorry. I mean administrative staff for opening the office, clean etc.

If anyone from staff would like to.speak about their open source contributions, we are open to proposals.

We could create a meetup page for the registration or is there something available at Fedora? Sorry but I was active in the community too many years ago and I don't know well the current setup.

Missing bits ATM:

  • registration page (can I use eventbrite or meetup.com or there's a custom page for registrations?)
  • number of required staff people from the hoster
  • event logos and marketing materials
  • final agenda

We briefly discussed this in #fedora-women, but feel free to use any service of your choosing to handle RSVPs for the event. We trust you know what works best for your local community or for you as an organizer.

I think this is a question for @bee2502?

@deneb wrote…
event logos and marketing materials

Is there anything specific you need or would like to have at your event? We can help as a liaison with the Design and Marketing teams to help you plan and promote your event. (For example, we might be able to get Fedora <3 Python brochures printed in Europe via Mindshare.)

final agenda

The FWD organizer resource pack is hopefully useful for you. Is there anything we can do to help you plan the agenda?

I'll create a meetup event page

nothing special, only a logo to be used in the meetup page and in our website for promoting the event. I know that @bee2502 already asked for swags but don't know what we have ATM.

I'll sync with @bee2502 for the agenda. I'm joining the community after a long period of "vacation" so my knowledge as ambassador needs of a good refresh ;)

I have opened the reimbursement ticket. The expenses were a bit higher than expected for pizzas even with support from CIB. Thanks @deneb

More info:

  1. Gender ratio of attendees ~ 50% women

  2. How many people are newcomers and how many people already are contributors / have a Fedora account ? Apart from speakers and organizers, most were newcomers to open source.

  3. Other ideas unique to your event and audience: We had speakers from other open source communities too i.e. Libreoffice, Mozilla and organized the event in collaboration with CIB. I hope this collaboration can give rise to more opportunities in future.

Thanks @bee2502! I'm closing this ticket as complete. Reimbursement details can be worked through in the fedora-budget ticket.

Some of these of these reports are making me hungry. :yum:
