#11 FWD 2018 proposal - Trieste, Italy
Closed: complete 5 years ago Opened 5 years ago by g5pw.

Event logistics

  • Date: 2018-09-29
  • Location: Trieste, Italy
  • Organizer(s): @g5pw, Mittelab
  • First time organizing a FWD event?: yes
  • Estimated number of attendees: 20-30 people

About your event

What kind of people do you expect to attend?

We expect Fedora newbies for the most part, there will be two or three veterans attending, though. Most of the attendees will already be linux users.

What do you plan to cover in the agenda for your FWD event?

We plan to have a couple of tech talks, an intro to Fedora (how to use it), and a tech talk about FreeIPA (since we use that for our infrastructure).

If we manage, we might move the event to a Saturday and organize a DjangoGirls event also. In that case, we may need some extra budget for mentors.

Are there any questions you have for the D&I Team?

Will there be a hashtag so we can join the fun on twitter?

Anything you want us to know?

This will be the first FWD at Mittelab, and we just did a DjangoGirls. Yay for women in tech!

Budget request

  • Pizza/food: $40
  • Drinks: $20

  • FINAL TOTAL: $60

Thank you so much for the ticket. I am overall in favor for this event.
Just few questions ::-
"In that case, we may need some extra budget for mentors." - How much that will be? and for it will be used?

Hello! I'm glad you like the event.

How much that will be? and for it will be used?

I don't have any definite figures yet, but I'm guessing it won't be over 80$ for the travel reimbursements of mentors.

I'm +1 for this event. I met Mittelab members at a conference in Milan and I was amazed to hear the activities they are doing. They haven't organized any Fedora related event for now, but they are using Fedora on their infrastructure and wanted to start doing some meetups - that's why I suggested them to organize a FWD at their hackerspace. Thanks for organizing this event @g5pw

Hi @g5pw! Thanks for your interest in organizing a FWD event. We are happy to approve this event for this year in Trieste. A few questions on my end remain:

Location: Trieste, Italy

Do you already have a venue selected? If so, where do you plan to host it?

If we manage, we might move the event to a Saturday and organize a DjangoGirls event also.

Big +1 if you can collaborate with DjangoGirls.

In the meanwhile, consider these points while you plan your event:

Resource pack

We plan to share a resource pack with FWD event organizers in early September.

The resource pack will include information on Fedora editions / objectives, content on Fedora <3 Python, and more. Once available, we encourage you to make use of it for your event.

Ideas for getting involved with Fedora

Please promote different ways to get involved and participate in the Fedora community.

When promoting the Fedora community, we encourage you to include other opportunities to contribute across Fedora. A great resource is whatcanidoforfedora.org. An overview of the different Fedora sub-projects is helpful to include. We plan to include other suggestions for this in the resource pack.

Participation metrics

Please collect participation metrics about the number of attendees and other information you think is useful.

We want to better understand how FWD events impact the local communities and Fedora. At a minimum, please note the number of attendees at your event. Other numbers may be useful depending on your event.

Some suggestions are…

  • Gender ratio of attendees
  • How many people are newcomers and how many people already are contributors / have a Fedora account
  • Badges earned by attendees during event (not including attendee badge)
  • Other ideas unique to your event and audience

Yes, sorry if I wasn't clear enough 😊 we'll be hosting it at Mittelab, a hackerspace in Trieste. We have a common room that holds ~30 people with another smaller room for refreshments.

Yeah, that would be great. We helped to organize one in the past, it's just a question of getting some tutors together now.

That will be great (Mittelab <3 python, too!)

Oh, I didn't know about that site, interesting!

Okay, we'll be "keeping score" 😊 I have to shamefully admit I didn't know anyone could earn badges until now. That's great!

According to https://pagure.io/mindshare/issue/32 , we need to send mail to bex (Brian Exelbierd bexelbie@redhat.com) in order to get the swags/stickers for the Fedora Women Day event.

I request organizers who need to get these swags and stickers to please mail Brian Exelbierd bexelbie@redhat.com asap in order to get them timely.

I emailed them a couple of days ago, got an autoresponder email for out of office. Is there something else I should do?

@g5pw I believe @bex is back in this week, so you should get a follow-up soon. If not, let us know.

Shipment has been requested.

Hello everyone!
A small update: we will hold the event on the 29th of September, and will do a Fedora install party as well as some introductory talks on what do different software packages install (3d printing, electronics, audio/video), a "bash shell 101" talk and some other linux-related talks. Will update as soon a we define the complete schedule, and I'll link the Facebook event, too.

Reimbursement Process for FWD

Open a ticket in the Budget Repo. The ticket must contain the following information:

  • Ticket URL of approved FWD event from the diversity repo
  • Link to the event blog post with some pictures
  • Paypal address and/or transferwise email/bank details
  • Readable copies of all receipts, pdfs preferred
  • List of all receipts, what they were for generically and the amount in the currency of the receipt (i.e. Food @ Walmart 1500 INR)
  • Preferred Reimbursement Currency. If that currency isn't possible, you will get USD.
  • Any additional notes required for the reimbursement, for example, if your country has paypal fees for receiving money, then include the fee calculation information and a link to the source information

Thanks!!

Thank you for organizing your FWD event! On behalf of the Fedora D&I team, we hope it was a success. :tada: We have two updates for you:

Writing an event report

To close out your FWD event, please write an event report no more than three weeks from your FWD event date. Your event report should be published on the Fedora Community Blog, but a personal blog is also acceptable. Don't forget to include one to three pictures! :camera:

The Community Blog uses WordPress, so you can write and draft your article on the Community Blog site. If you need help, please reach out in this ticket.

Note: An event report is required to receive reimbursement for your event.

Getting reimbursed

Once your event report is published and you share a link to it in this ticket, you can request reimbursement for your event. To request reimbursement, open an issue here:

https://pagure.io/fedora-budget/new_issue

@bex will work with you to reimburse the costs of your event. Remember to save all original receipts for your event expenses.

See more information on the event reimbursement process.

Writing an event report
Hello! This is the link to our event report : https://communityblog.fedoraproject.org/?p=6510

@hysdue Thanks for submitting the event report to the Community Blog!

@bex @bcotton @nb Could you help review and schedule this article in the Community Blog? I'm getting ready to travel for the next week and won't have a chance to review this in a timely manner.

We're in the process of activating a TransferWise account, it should take a couple of days...

Hi @g5pw, were you able to make progress with the TransferWise account?

In the meanwhile, @bcotton volunteered to help review and schedule the event report.

hello @jflory7 yeah, they just need some more documents and we should be active  Thanks to @bcotton for the review, you can communicate with me or with @hysdue to fix/improve any issues!

Hello, just a heads-up: our TransferWise was activated successfully :tada:

@g5pw Excellent! And the event report published on the Community Blog this morning:

https://communityblog.fedoraproject.org/fedora-womens-day-2018-trieste/

@g5pw @hysdue Thanks for your work and effort to organize this. I'm going to close this ticket as complete. To finalize reimbursements, that can happen in the ticket in fedora-budget with @bex.

That's a wrap! :clapper:

Awesome! it was really great interacting with the Fedora Community 😊 thank you @jflory7 and thanks to @jonatoni for telling us about this interesting event!
We'll keep in touch for the next iteration

P.S.: would it be possible to give @hysdue the FWD badge? The link for awarding it is not working anymore, but she attended (she created her account after the FWD though).
